Program Assistant Position for May or Recent Grad with Center for European Policy Analysis

Position description
CEPA seeks a qualified and highly motivated individual to serve as a Program Assistant for our Democratic Resilience program. The Program Assistant will provide day-to-day administrative, financial and other support to the program staff for an initial six-month period with the possibility of extension.

This position reports to the Director for Democratic Resilience and is based in Washington, D.C.
The ideal candidate will be highly organized, familiar with the functions of a public policy non-profit organization, willing to work across cultures, capable of balancing multiple tasks simultaneously and possess an interest in U.S.-European relations. He/she must be able to be proactive, detail-oriented, and work both independently and as part of a team.

Responsibilities:
  • Manage of day-to-day program activities, with a particular focus on media literacy programming, including communicating with project partners and local coordinators in the Baltic region and tracking expenses and prepare financial reports;
  • Coordinate and assist in planning and implementing of program events, workshops and webinars, as well as online media literacy training in the Baltic States;
  • Monitor grant compliance requirements and keep track of the project activities and the implementation plan;
  • Executive assistance and scheduling for program staff;
  • Track developments in the CEE region and provide support with research;
  • Assist program team with outreach to partners and maintain regular contact with CEPA's network in the Baltic region;
  • Assist program team with drafting memos, agreements, SOPs or other documents necessary for the implementation of project activities;
  • Address administrative and research pop-up requests from program staff.
Qualifications
  • Bachelor's degree minimum; Master's level education or equivalent knowledge in International Affairs, Political Science, or a related discipline is preferred;
  • One year of applicable program experience in a think-tank or similar setting is a benefit;
  • Competence in project administration and managing logistics;
  • Experience in financial management and reporting (preferred);
  • Demonstrated ability to manage multiple tasks in a time-sensitive environment;

Program Assistant Position for May or Recent Grad with the Population Reference Bureau

Position description
The Program Assistant will serve as a member of the International Programs department, providing administrative, logistic, and coordination support to programs and activities. The Program Assistant will assist with organizing meetings and conferences, handling travel arrangements, maintaining training/workshop participant and contact lists, processing invoices, editing and formatting workplans and reports, drafting, reviewing, and editing correspondence and other short materials in English and French, and streamlining administrative processes when possible. The Program Assistant may also be called upon to provide substantive support to projects. This support may include researching data and information, assisting with background research, writing or drafting materials, compiling, checking and cleaning data for monitoring, evaluation and learning initiatives as well as liaising with partners and stakeholders to collect data in support of project reporting.

PRB has been at the cutting edge of synthesizing complex information for non-technical audiences; making quality information available in accessible formats; strengthening the capacity of researchers, practitioners, and journalists; and creating spaces for these communities to exchange knowledge. PRB staff are experts in family planning, reproductive health, and population, including gender and youth, and in knowledge management, advocacy, communications, journalism, digital/multimedia, and research.

The successful candidate will be a critical member of the International Programs department, and will support our media trainings, policy communication trainings, and will provide program and administrative support to other activities with partners in East, West and Southern Africa, and South Asia. S/he is interested in learning about development priorities in an international context, and excited to work with PRB's team of demographers, researchers, and development experts.

Essential/Primary Responsibilities
  • Provides general administrative support, such as: formatting documents, photocopying materials; maintaining and sharing files and records related to International Programs department, or specific activities and projects within the department; coordinates payments for invoices and expense reports for project activities, consultants, and senior staff; coordinates procurement related to assigned activities.
  • Arranges logistics for domestic and international meetings with specific focus on supporting remote learning/online technologies; Arranges and sets up in-person and virtual conference rooms for meetings, seminars, and training workshops including supporting program staff to use new systems and platforms such as Slack and Zoom.
  • Assists with communication and follow-up for different project activities with participants of trainings and seminars, and project partners via letters, email, and telephone. Maintains and updates database of International Program's training participants.
  • Coordinates training participant schedules and arranges travel through PRB's travel agency. Helps to secure international visas and travel insurance.
Secondary Responsibilities
  • Conducts routine web-based searches for projects using trusted sources.
  • Helps draft materials such as scripts, donor reports, or other materials to support International Programs department.
Qualifications
  • Bachelor's degree with social sciences background and an interest in global health/development issues preferred; Associate's degree with additional experience also considered;
  • Excellent writing, editing, and proofreading skills in English;
  • Strong organizational and time management skills, to prioritize tasks and meet deadlines;
  • Experience providing administrative and project support to a staff of five or more employees;
  • Proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint;
  • Ability to work independently;
  • Occasional travel may be involved;
  • French language preferred

Maryland Today | Federal Aid Available for UMD Students Facing Pandemic-related Financial Hardships

As of Monday, 5,069 Terps had been awarded $5,069,000 using information from the 2019-20 Free Application for Federal Student Aid (FAFSA), and another $5 million has been earmarked for students to access through the new UMD CARES Act Emergency Student Financial Aid Grant Application.

"The COVID-19 pandemic has impacted our students in so many ways, including financially," said Patty Perillo, vice president for student affairs. "We are grateful for the vital support we've received from Congress to provide students with additional resources during this time."
To be eligible to apply for a grant, students must be:

Currently or previously enrolled in a degree or eligible certificate program for the Spring 2020 semester on or after March 13.

Adversely impacted by the COVID-19 pandemic campus interruption and with an emergency need.
A U.S. citizen or someone who meets the definition of an eligible non-citizen based on federal financial aid requirements.

Qualified under federal financial aid eligibility requirements.
Using the funds to cover expenses related to the disruption of campus operations due to the COVID-19 pandemic, including food, housing, rent, utilities, course materials, technology-related needs, and health or child care.

Students who wish to apply must fill out the application and provide a statement about how the COVID-19 situation and the disruption of campus operations resulted in financial hardship.

The Office of Student Financial Aid will review applications and release decisions via email within seven to 10 business days. Emergency grants will be paid through the student billing process and can be viewed using the student financial aid portal. Applicants are encouraged to sign up for a direct deposit to allow faster access.
